Job description: We’re seeking an Administrative Assistant to provide leadership and organization support to senior leaders within NVIDIA’s Information Technology organization. The ideal candidate is someone who has a passion for making leaders and organizations better – through relationships, collaboration, and keeping things running with great process. This position requires someone who is organized, has excellent communication skills; shows initiative, and drive; and can set priorities and balance multiple tasks simultaneously with little direction. To be successful, you will anticipate and remove administrative roadblocks; make timely decisions; have strong planning and interpersonal skills, and have experience supporting domestic and international employees while having the ability to accommodate flexible work schedules based on the needs of the department.

What you’ll be doing:

Provide dedicated administrative support to multiple senior leaders and assist the extended team as needed.

Manage and maintain multiple calendars efficiently and confidentially.

Act as the administrative liaison between leaders and external partners; welcome and escort guests on behalf of the IT leadership team.

Plan, organize, and schedule department meetings, including off-sites, celebrations, and team-building events, managing all logistics and within budget.

Coordinate all travel arrangements and itineraries, negotiating the best rates with vendors and travel agents. In addition, manage and reconcile expense reports and purchase requisition submissions.

Assist with the development and management of meeting agendas, cadence activities, and communications, including detailed meeting notes, identifying, prioritizing, and tracking action items.

Coordinate content collection and contribute to communications and presentations to ensure design meets brand standards.

Provide backup support when needed and assist with special projects from within the Office of the CIO.

What we need to see:

5+ years of experience working as an Administrative Assistant or in a similar role.

B.S./B.A degree or equivalent experience.

Proactively anticipate needs, showcase initiative, and address potential issues to prevent problems.

Exceptional organizational skills and attention to detail with strong prioritization abilities to enhance overall efficiency for leaders and team

Flexibility and adaptability in changing situations, demonstrating a proactive approach to learning and problem-solving.

Results-oriented, solution-driven, with a demonstrated ability to exercise discretion and maintain confidentiality.

The base salary range is 68,000 USD – 149,500 USD. Your base salary will be determined based on your location, experience, and the pay of employees in similar positions.
